How SolvePrint collects, uses and protects your information. Last updated 25 October 2026.
Who we are
SolvePrint ("we", "us") rents, leases and services photocopiers and printers. We are a sole trader business based in London, trading as SolvePrint, and we are responsible for the personal information described in this policy.
- Email: info@solveprint.co.uk
- Phone: 07743 730963
- Website: solveprint.co.uk
This policy explains what information we collect, why we use it, who we share it with and your rights.
What we collect and where from
| What | Examples | Where it comes from |
|---|---|---|
| Contact details | Name, business name, email, phone number | Our website form, emails, phone calls, visits |
| Enquiry details | What you need, page volumes, your current copier and contract | You |
| Customer details | Delivery address, contract, billing and Direct Debit details, service history | You, and our payment provider Stripe |
| Machine usage | Meter readings and fault reports from the copier we supply | The machine and you |
| Website visits | Pages viewed, clicks, scrolling, device and browser type, approximate location | Microsoft Clarity, Google Analytics and our marketing partner OpenAI, only if you accept cookies |
| Business contact details | Names, job titles and work contact details of staff at schools and businesses | Public sources such as school and business websites and the Department for Education's GIAS register |
We do not collect special category information, such as health details, and we do not knowingly collect information about children.
Documents you copy, print or scan stay on the machine in your control. When a machine is collected, we securely wipe its storage.
Why we use it
The law requires a lawful basis for each use of personal information. Ours are:
| Why we use it | Lawful basis |
|---|---|
| To answer your enquiry and send you a quote | Steps you asked us to take before a contract |
| To deliver, install, service and repair your machine, and bill you | Performance of our contract with you |
| To keep accounts and tax records | Legal obligation |
| To contact schools and businesses about our services by phone or email | Legitimate interests: telling organisations about a service that may save them money |
| To understand how visitors use our website and improve it | Your consent, given through our cookie banner |
| To see whether our adverts lead to enquiries, with our marketing partner OpenAI | Your consent, given through our cookie banner |
| To count clicks on our phone number, email address and Order online buttons, without cookies and without identifying you | Legitimate interests: knowing which pages bring enquiries |
| To protect our business and handle disputes | Legitimate interests |
We only send marketing emails to work email addresses of organisations, and every email lets you opt out. You can ask us to stop contacting you at any time, and we will.
Website analytics, session recordings and cookies
We partner with Microsoft Clarity and Microsoft Advertising to see how visitors use our website, through session recordings, heatmaps and usage statistics. Clarity only runs if you click Accept on our cookie banner. If you accept, it records:
- which pages you visit and how long you stay
- clicks, scrolling and mouse movement, which we can replay as a session recording
- your device, browser and approximate location (country or region, not your exact address)
Session recordings hide what you type into forms, so we cannot see the details you enter. We use this information only to find and fix problems and improve our website.
Microsoft collects this data using first-party and third-party cookies and similar technologies. For more on how Microsoft collects and uses your data, see the Microsoft Privacy Statement.
We also use Google Analytics, run by Google, to count visits and see which pages and searches bring people to our website. It also only runs if you click Accept. Google's advertising features are switched off, so it is not used to show you ads.
We also work with OpenAI as a marketing partner. Its Ads pixel shows us whether our adverts on ChatGPT lead to enquiries. It also only runs if you click Accept. When you send an enquiry or tap our phone number, it tells OpenAI so we can count which adverts worked. It does not send what you type into our forms. For more, see OpenAI's privacy policy.
Cookie-free click and visit counts. Whether or not you accept cookies, we count how often the phone number, email address and Order online buttons are clicked on each page, and visits to our colour printer rental page with where they came from (for example an advert, a search engine or another website). We keep only what was clicked or visited, where the visit came from, the page and the date. We don't keep your IP address or anything that identifies you, and nothing is stored on your device. We use the totals only to see which pages bring enquiries.
| Cookie | Set by | Purpose | How long |
|---|---|---|---|
| sp_consent_v2 (browser storage) | SolvePrint | Remembers your Accept or Reject choice | Until you clear it |
| _clck, _clsk | Microsoft Clarity | Recognise repeat visits and link pages into one session | Up to 1 year |
| MUID and other Microsoft cookies | Microsoft | Identify browsers across Microsoft services | Up to 1 year |
| _ga, _ga_* | Google Analytics | Count visitors and sessions | Up to 2 years |
| __oppref, __obref | OpenAI (marketing partner) | Link an enquiry to a click on our advert | 30 days and 1 year |
If you click Reject, Clarity, Google Analytics and our marketing partner's pixel do not load and none of their cookies are set. You can change your choice at any time with the Cookie settings link at the bottom of every page, or block cookies in your browser settings.
Who we share it with
We never sell your information. We share it only with service providers who help us run the business, and only what they need:
| Provider | What they do for us |
|---|---|
| Wix | Hosts our website, receives contact form messages and stores our cookie-free click and visit counts |
| Microsoft (Clarity) | Website analytics and session recordings |
| Google (Analytics) | Website visitor statistics |
| Microsoft 365 | Email and business documents |
| Stripe | Takes card and Direct Debit payments |
| Cloudflare | Website security and domain services |
We may also share information with our accountant, our insurers, or the police and regulators where the law requires it. If a local engineering partner services your machine outside London, we share only the details needed for the visit.
Some providers store information outside the UK, for example in the EU or the USA. When they do, the transfer is protected by UK-approved safeguards, such as the UK's adequacy rules or standard contract clauses.
How long we keep it and how we protect it
| Information | How long we keep it |
|---|---|
| Enquiries that do not become a contract | 2 years from our last contact |
| Customer and contract records | The length of the contract, then 6 years for tax and legal reasons |
| Session recordings | 30 days |
| Other website analytics | 13 months |
| Cookie-free click and visit counts | 13 months |
| Business contact details for outreach | Until you ask us to stop, or 2 years without contact |
We protect your information with password-protected accounts, two-step sign-in where available, and secure, encrypted connections. Only SolvePrint staff who need your information can see it.
